    The Executive Assistant is responsible for providing high level administrative support to the President and Senior Vice President, Property Operations of Holland Residential to ensure the office is running smoothly and efficiently in accordance with Holland Partner Group’s Core Values.

    Responsibilities

    • Manage the day-to-day administrative matters in support of the President and Sr. VP.
    • Arrange all requirements of meetings and appointments as needed.  
    • Interact at the highest levels within the organization, as well as with partners, community and organization leaders to maintain an efficient flow of information between all levels of the President and Sr. VP’s contacts on a wide spectrum of plans and priorities.
    • Conserve the President and Sr. VP’s time by reading, researching, and routing correspondence; drafting letters, documents and presentations; collecting and analyzing information; and/or initiating telecommunications.
    • Support Holland Residential’s property operations team to ensure exceptional execution and achievement of objectives.
    • Maintain status reports pertaining to lease-ups and open jobs for all regions.
    • Act as a liaison between the President and Sr. VP and the regional operations teams. 
    • Compile information, assist in reporting and identify gaps and emergent challenges.
    • Coordinate the tracking and progress of various contract and legal documents for projects.
    • Track critical items and ensure they are completed to include, but not limited to, meeting action items.
    • Oversee and manage the submission of all items submitted through the approval process for contracts and agreements.
    • Schedule appointments and other commitments for the President and Sr. VP and ensure they are appropriately prepared with background information for scheduled commitments.
    • Continually monitor deadlines to ensure compliance and timely submittal of required tasks.
    • Provide administrative support for expense reports and facilitation of time off requests.
    • Process incoming correspondence received by the President and Sr. VP.
    • Review other prepared documents requiring the President or Sr. VP’s signature to ensure accuracy and completeness. 
    • Coordinate necessary arrangements for travel; keep the President and Sr. VP informed of important matters while in travel status based on knowledge of open tasks and current priorities.
    • Represent Holland Partner Group in a professional manner at all times.
    • Conform to company apparel standards and set a positive example for all Associates.
    • Perform all other duties as directed and assist the overall team effort in any way possible.

    Qualifications

    Education:  High School Diploma or equivalent is required.  Bachelor’s degree or equivalent strongly preferred.

     

    Experience:  Seven years of experience as an Executive Assistant supporting C-Level Executives and/or Senior Management required.  Experience working with contracts and/or legal documents required.  Administrative experience in the multi-family housing industry preferred.

     

    Knowledge, Skills and Abilities Required:

    • Excellent verbal and written communication skills.
    • Ability to handle the highest level of confidential issues with the utmost sensitivity.
    • Ability to accurately perform multiple tasks in a complex and fast-paced operating environment. 
    • Ability to understand, review and clearly explain complex contracts and legal documents. 
    • Detail-oriented with the ability to follow directions accurately.
    • Ability to be proactive, flexible and resourceful. 
    • Proven ability to work independently and make sound judgments on a day-to-day basis.
    • Must be proactive, flexible, responsible and resourceful, with strong problem-solving and follow-up skills.
    • Proficient in Microsoft Office 365.  Yardi experience preferred.
    • Exemplary analytical, organizational, and interpersonal skills
    • Strong customer service, diplomacy, and crisis diffusion skills.
    • Excellent grammar and proofreading skills with high attention to detail and follow-through.

    Attendance: This full-time position is exempt and requires the ability to be present and available during business hours to meet company and department needs.  Additional hours or flexible schedule may be required. 

     

    This position also requires:

    • Ability to lift or move up to 20 pounds.
    • Hearing and visual ability to observe and detect signs of emergency situations.
    • Fluency in English both verbally and non-verbally.
